Account Coordinator

This full-time position offers a salary of $50,000.00 a year plus full benefits – and limitless opportunity for growth and leadership as the company expands.

This position provides an opportunity to join a culturally laid-back (but very busy!) digital marketing company. We’re looking for a resourceful, strategic, problem-solving, kick-ass self-starter with a strong work ethic to join the Account Management team.

As a member of the Account Management team, you’ll focus on delivering results that matter to our clients and repping their goals within the Agency. As an Account Coordinator, you will work closely with your Account Manager to achieve account success and client satisfaction.

Core Responsibilities

  • Support the Account Management team by assisting assigned Account Managers with new client intake, task and deliverable coordination, and general communication activities. 
  • Ensure smooth project and retainer workflows through organization and collaboration, serving as a key point of support between internal and external teams.
  • Develop a strong understanding of Brain Bytes Creative’s processes, tools, and client needs to proactively anticipate the needs of the Account Management team. 

Activities

Client service: 

  • Provide general communication and coordination support for all new-client intake processes, including asset gathering, meeting scheduling, and follow-ups. 
  • Begin learning and understanding clients’ industries, preferences, and workflows to better support your assigned Account Manager(s). 
  • Assist in creating and maintaining client preferences and organizational materials, such as reference sheets, branding documentation, G-Drive folders, etc.

Account & project coordination: 

  • Prepare and distribute agendas and meeting notes for both internal and client-facing meetings, ensuring key action items are clearly communicated.
  • Support day-to-day problem-solving for shifts in asset collection, activities, or timelines across client projects. 
  • Manage and track basic tasks and milestones within our project management software, Teamwork, ensuring progress is documented and shared with relevant stakeholders. 
  • Provide QA and delivery support for standard client deliverables.

Agency & department growth: 

  • Maintain and organize internal records, including documents, spreadsheets, files, and shared drives, ensuring they are up-to-date and easily accessible.
  • Pursue professional development through certifications and training in digital marketing basics (e.g., Google Analytics, Google Ads, etc.) 
  • Provide basic administrative support to assigned Account Manager(s) as needed. 
  • Contribute to the improvement and documentation of new and existing processes to enhance efficiency and team workflows. 

Preferred Skills & Qualifications:

  • Bachelor’s degree from an accredited university
  • Experience in the digital marketing industry, with agency experience preferred
  • Proficiency in Google Workspace applications (Gmail, Docs, Sheets, Slides, etc.)
  • Experience with Teamwork project management software is a huge plus
  • Website project management experience is a huge plus
  • Strong foundation in project management principles
  • Exceptional written and verbal communication skills
  • Highly organized, with the ability to prioritize multiple projects and consistently meet deadlines
  • Meticulous attention to detail and a commitment to delivering high-quality results
  • Professional, responsive, and adaptable in fast-paced environments
  • Thrives in a collaborative team setting, fostering positive relationships internally and externally
  • Low ego, honest about shortcomings and open to giving and receiving constructive feedback
