About the Role:
We're seeking a passionate and highly organized Event Production Assistant to join our event production team. In this role, you will be an integral part of ensuring the smooth execution of our live and virtual events, offering responsive, hands-on support through various communication channels, including email, phone, and in-person.
Your responsibilities will include overseeing the logistics of live events, managing audiovisual teams, handling rental orders, coordinating vendor and staff requirements, and creating detailed schedules and layouts. You will also play a key role in supporting virtual events, working across various platforms like Zoom and Hopin to ensure everything runs smoothly.

Key Responsibilities:
Oversee event production logistics, including A/V team coordination and venue layout planning.
Review and manage rental orders, vendor needs, and temporary staff hiring.
Create and maintain detailed run-of-show schedules for both live and virtual events.
Assist in the administration of sponsor deliverables, including advance materials and shipping of display items.
Support the production of virtual events by setting up templates, managing schedules, and staffing key roles.
Ensure high-quality production values are consistently met.
Requirements:
A 4-year college/university degree.
A minimum of 2 years of full-time, professional post-graduation experience in event production or related fields.
Based in the broader NYC area (within a reasonable distance from major airports) with the ability to travel for in-person events.
Experience managing core event production tasks such as vendor evaluation, staffing, and event rentals.
Experience with corporate events (e.g., conferences, executive networking) is a plus.
Proficiency in budgeting and managing complex spreadsheets.
